Information for Registered Clubs

2025/26  Club Re-Registration Deadline - Saturday 25 October 2025

To remain on the Proctors’ Register, all clubs are required to re-register annually by the end of Week 2 of each Michaelmas Term.

As part of the 2025/26 re-registration process, clubs must submit the following documentation:

  • The latest version of the Standard Constitution for Non-Sport Clubs
  • A copy of the club’s Code of Conduct
  • A copy of the club’s Complaint Procedure
  • Full accounts

Please note that re-registration applications will be assessed against the standard criteria for registered clubs. Incomplete applications will not be processed. We strongly encourage clubs to submit all required documents well in advance of the deadline to avoid any risk of removal from the Proctors’ Register. The online re-registration form will be available from 01 September 2025.

Accounts

The Treasurer is responsible for keeping proper records of the Club’s financial transactions and for providing a copy of annual accounts for inspection by the Senior Member and the Proctors at the end of week 9 of each Trinity term.

Annual re-registration

To remain on the Proctors’ register, clubs are required to re-register annually by the end of week 2 of each Michaelmas term. Clubs must ensure that the documentation provided as part of 2024/25 re-registration includes the latest version of the standard constitution for non-sport clubs, a copy of the club's code of conduct, and a copy of the club's complaint procedure. Re-registrations will be assessed against standard criteria for registered clubs. Incomplete applications will not be processed.
