Graduate Studies Office (GSO) forms are regularly updated. You should make sure that you are using the latest version by obtaining forms from this page ahead of each new application.
You may find yourself in exceptional circumstances that require appropriate adjustments to your study timescales and arrangements. Below are forms that should be used in such circumstances. It is strongly advised that, in the first instance, you discuss issues with your supervisor and College Advisor before beginning any of the below exceptional circumstance forms. If you are unclear on the submission/approval process for a particular GSO form or if you have questions about the sharing of your personal data, please contact your Graduate Studies Assistant or departmental graduate administrator.

Deferral of transfer or confirmation of status
Application for deferral of transfer of status
The maximum number of terms for which deferral of transfer may be approved is two terms for a full-time student or four terms for a part-time student. If you have already reached this limit but wish to apply for a further deferral do not fill this form in. Contact your Graduate Studies Assistant for further information.
Application for Deferral of Confirmation of DPhil Status
The maximum number of terms for which deferral of confirmation may be approved is three terms (for both full-time and part-time students). In certain subjects (for example, Doctoral Training Programmes) or where admission has been direct from MPhil to DPhil, one or more of these terms may have been automatically granted – please refer to the special regulations for your degree or contact your Graduate Studies Assistant for clarification. If you have already reached this limit but wish to apply for a further deferral do not fill this form in. Contact your Graduate Studies Assistant for further information.
Extension of time
Extension of time
The maximum number of terms’ extension which may be approved is six terms for full-time DPhil students, and up to three terms for MLitt and MSc by Research students. For part-time students, extensions of time can be given for up to three terms.
Extension of time for P/T PGT Mathematical, Physical & Life Sciences students (Software Engineering and Mathematical Finance students only)
The maximum number of terms’ extension which may be approved for part-time students is three terms.

Suspension and return from suspension forms
Suspension of status
The maximum number of terms’ suspension which may be approved is six terms for PGR students. For PGT students, the number of terms permitted is equivalent to the length of the course; ie for a one-year course, three terms; for a two-year course, six terms. If you have already reached this limit but wish to apply for a further suspension, you must contact the relevant Graduate Studies Assistant for further information. Withdrawal and reinstatement
Notification of withdrawal from programme of study.

Reinstatement may only be considered:
in the case of doctoral students who withdrew before submitting their thesis for the first time: where they have been enrolled for fewer than 18 terms (full-time students) or 27 terms (part-time) and not more than twenty four months have passed since their enrolment was withdrawn;
in the case of doctoral students who withdrew after submitting their thesis for the first time and attending their viva:
in the case of PGT students, where not more than two years have elapsed since the student was last enrolled and they have not exceeded the maximum registration period for their course.

If you have exceeded these limits but still wish to apply for reinstatement, you must contact the relevant Graduate Studies Assistant for further information. PRS students who lapsed prior to completing Transfer may be permitted, in exceptional circumstances, to reinstate, but in most cases are likely to be required to make a fresh application for graduate study. Reinstatement may only be considered for PRS students who have been enrolled for 5 terms (full-time students) or 10 terms (part-time) or less. Students who wish to apply for reinstatement will be asked to provide a work plan and timetable for their return.
