Graduate forms

These graduate forms are available to students who are on-course, which you will need to complete at the relevant stages of your degree.  Students are responsible for submitting applications in good time to meet applicable deadlines.  In most form links below, you will be redirected to Student Self Service to complete the form.  You will find the relevant forms under My Student Record tab.  For some graduate form requests you will be directed to complete a manual form and send to the relevant team for processing.

Information for Thesis Cataloguing

For any student submitting a hardbound library copy for the Degrees of DPhil, MLitt, MSc by Research, BPhil, MPhil, or MSc by coursework.

Take completed form with the physical thesis and deliver to Bodleian Libraries Via North Proscholium, Old Bodleian Library (Broad Street, Oxford).

Forms for changes of circumstances

If you are experiencing changes to your circumstances and require appropriate adjustments to your study timescales and arrangements, you may need to complete one of the following Graduate forms once you have discussed your options with your supervisor, Director of Graduate Studies and/or college advisor as appropriate. Postgraduate research students can consult Changes of circumstances for postgraduate research students for guidance on potential options.

Change to mode of study

This form is for use by students studying a programme which is already offered both full-time and part-time basis who wish to change from full-time to part-time study (or vice versa).

Deferral of transfer of status

The maximum number of terms for which deferral of transfer may be approved is two terms for a full-time student or four terms for a part-time student. If you have already reached this limit but wish to apply for a further deferral do not fill this form in. Contact your Graduate Studies Assistant for further information.

Deferral of Confirmation of Status

The maximum number of terms for which deferral of confirmation may be approved is three terms (for both full-time and part-time students). In certain subjects (for example, Doctoral Training Programmes) or where admission has been direct from MPhil to DPhil, one or more of these terms may have been automatically granted – please refer to the special regulations for your degree or contact your Graduate Studies Assistant for clarification. If you have already reached this limit but wish to apply for a further deferral do not fill this form in. Contact your Graduate Studies Assistant for further information.

Extension of Time

The maximum number of terms’ extension which may be approved is six terms for full-time DPhil students, and up to three terms for MLitt and MSc by Research students. For part-time students, extensions of time can be given for up to three terms.

Suspension of Status

Student can request a suspension of status.

The maximum number of terms’ suspension which may be approved is six terms for PGR students. For PGT students, the number of terms permitted is equivalent to the length of the course, i.e. for a one-year course, three terms; for a two-year course, six terms. If you have already reached this limit but wish to apply for a further suspension, you must contact the relevant Graduate Studies Assistant for further information. Reinstatement

Reinstatement may only be considered when no more than twenty-four months have passed since a student’s enrolment was withdrawn, and they had not already, before withdrawal, spent the maximum permitted number of terms (plus permitted extension of time) on course. Further information about reinstatement is available on the Changes in student status webpage or from the relevant Graduate Studies Assistant.

Post-outcome suspension of status

Available to graduate research students who submitted their thesis for the first
time on or after 12 October 2025 and have one of the following approved outcomes from a DPhil, DM, MLitt or MSc (Res) programme:
• Major corrections with mandatory viva
• Major corrections without mandatory viva
• Reference back

The length of suspension that may be approved is between 4 weeks (minimum) and 52 weeks (maximum).

Post-outcome suspension of status for maternity, extended paternity and adoption leave (family leave). Available to graduate research students who submitted their thesis for the first time on or after 12 October 2025, and received any outcome, including minor corrections.
