Employment information

The terms and conditions of employment for University staff are set out in your contract of employment (sometimes referred to as a letter of appointment). The specific terms and conditions will vary depending on your grade and the purpose and source of funding for your role.

Academic posts

There are three main categories of academic post at the University: professorships, readerships, and lecturerships. The majority of these academic posts have a formal association with a college.

Academic-related staff

Academic-related staffThose on grades 6-10 are defined as academic-related staff. They include researchers, library and museum staff, IT staff, and senior administrative staff.

Support staff

Those on grades 1-5 are defined as support staff. They include administrative and clerical staff, and staff working in operational services, such as maintenance and catering.

Staff representation

The University has a number of consultative committees with staff representatives to ensure that staff are briefed on any changes occurring in the University and to consult over any proposed changes to terms and conditions.

Matters relating to the terms and conditions of employment of academic and academic-related staff are discussed at the Joint Committee with the UCU (University and College Union).

Health, safety and welfare

Health, safety and welfare

All new members of staff are required to familiarise themselves with the University Statement of Health and Safety Policy and the University’s health and safety policy statements.

Each department also has its own safety rules and procedures to be followed in the case of fire, accident or emergency. Please contact your departmental administrator for details and ensure that you are familiar with your local procedures.

The University has an Occupational Health Service, which is available to help with work-related health issues or with personal difficulties which impact on work. The service may be used by any member of University staff wishing to seek help beyond that normally available through their department.

The Equality & Diversity Unit provides practical support and advice to staff with a disability. The Unit also runs the harassment advisors' network and works to promote awareness of equality and diversity issues among all members of the collegiate University.

Training and development

Professional development opportunities for members of staff are provided by various departments of the University. These include:

  • The Oxford Learning Institute, which provides a wide programme of seminars and courses in areas ranging from teaching and academic practice to communication skills.

  • IT Services, which runs a programme of IT training courses and offers advice about using educational technology, such as digital whiteboards.

  • The Language Centre, which provides courses and resources for staff who need foreign languages for their research, work or personal development.

  • The Careers Service, which provides careers information for research staff. The service, which is free, consists of career discussions, career development workshops, and access to resources and information.

The Staff Learning Scheme is designed to provide staff with financial support for relevant courses and other learning activities for which they would otherwise have to pay.
