Publication and distribution arrangements

The Gazette is produced by the Design and Publications Office, Public Affairs Directorate, typeset and printed by Oxuniprint, OUP, and distributed by courier around the collegiate University. For details of the subscription options open to you, please see the relevant section below:


Gazette subscription options for current members of staff

A self-service database is available at www.staffsubs.ox.ac.uk for current members of staff to record their preferences as to which of the following publications they receive:

  • Gazette (the University of Oxford's journal of record)
  • Blueprint (the University of Oxford's staff magazine)
  • Oxford Magazine (an unofficial publication and forum for free expression of opinion within the University of Oxford).

Any member of staff can now receive

  • print copies of any or all of the above publications delivered to any address within the collegiate University*, and/or
  • email notifications of new online issues of any or all of the above publications.

Staff can also opt for email alerts when new issues of the following publications are available online:

  • Oxford Today (the University of Oxford's alumni magazine); print copies of this publication are only available to alumni.
  • OUP's Annual Report (the report of the Delegates of the University Press); this publication is no longer issued in print at all.

Staff can set their own preferences, and change them at any time, by visiting www.staffsubs.ox.ac.uk

* A few University addresses which are too far from central Oxford are unavailable for delivery.

Gazette subscriptions for other University members

Retired members of staff

Retired members of Congregation

If you are a retired member of Congregation, you can receive:

  • print copies of the Gazette, Blueprint and the Oxford Magazine delivered to any address within the collegiate University* or any UK postal address
  • email notifications of new online issues of the Gazette, BlueprintOxford Magazine and OUP's Annual Report (the report of the Delegates of the University Press)
  • email notifications of new online issues of Oxford Today (the University of Oxford's alumni magazine).

Other retired members of staff

Retired members of staff who are not also members of Congregation can receive:

  • print copies of the Gazette, Blueprint and the Oxford Magazine delivered to any address within the collegiate University*
  • email notifications of new online issues of the Gazette, Blueprint, Oxford Magazine and OUP's Annual Report (the report of the Delegates of the University Press
  • email notifications of new online issues of Oxford Today (the University of Oxford's alumni magazine).

Please note that:

  • non-members of Congregation cannot have copies of publications posted to them at their home addresses
  • access to the online Oxford Magazine is restricted to current and retired members of staff only
  • only alumni can receive Oxford Today in print (see FAQ below for your options if you are an alumna/us as well as a retired member of staff)
  • OUP's Annual Report is no longer published in print.

To use the University's self-service database and choose your preferred publications and delivery options, retired members of staff first need to email gazette@admin.ox.ac.uk to have their account set up; after this, you can change your preferences at any time by visiting www.staffsubs.ox.ac.uk as long as you have a single sign-on account. However, you cannot opt to have your publications sent to a postal address using the self-service database.

Current students

Undergraduate and postgraduate students of the University are not entitled to receive print copies of any of our publications, but can opt to receive email alerts about new online issues of the following publications:

  • Gazette (the University of Oxford's journal of record)
  • Blueprint (the University of Oxford's staff magazine)
  • OUP's Annual Report (the report of the Delegates of the University Press)
  • Oxford Today (the University of Oxford's alumni magazine).

To set up your subscriptions, follow the instructions under 'Email notifications of new online issues of the Gazette and Blueprint' below. However, to subscribe to email alerts about Oxford Today, you must email gazette@admin.ox.ac.uk and request a subscription, as this publication is not currently available via the self-service mechanism.

Gazette subscriptions for non-University members

If you are not a current member of the University of Oxford, nor a retired member of staff, you have the following subscription options:

Paid postal subscriptions

Taking out a paid-for subscription to the Gazette

The cost of a subscription to the Gazette for the 2016–17 academic year will remain:

  • United Kingdom, first-class post: £89.50
  • United Kingdom, second-class post: £76
  • Elsewhere in Europe: £94.50
  • Outside Europe (airmail): £212.50

Subscription to the Gazette includes Blueprint (6 issues per year) and the Oxford Magazine (12 issues per year: see below concerning separate subscription to the Magazine).

How to pay

Payment by cheque: please send your name and full postal address, plus a cheque for the appropriate amount as detailed above and made payable to 'Oxford University Chest', to: Gazette Subscriptions, University Offices, Wellington Square, Oxford OX1 2JD.

Deadline for subscription payments

To ensure that your subscription is active in time for you to receive all copies of the Gazette, Blueprint and Oxford Magazine for 2016–17, we must receive your payment by Friday, 16 September.

Period of subscriptions

Subscriptions run for the whole academic year (September to July). If you subscribe at any point after the start of the academic year, we will send you back issues to date and your subscription will run until July of the year in which you subscribe.

Oxford Magazine

Subscriptions to the Oxford Magazine only are also available and the charges for 2016–17 will remain:

UK: £32
Elsewhere in Europe: £40.50
Outside Europe: £88.50

How to pay

Payment by cheque is currently the only method available for Magazine-only subscriptions.

If you wish to subscribe to the Oxford Magazine only, please send your name and full postal address, plus a cheque for the appropriate amount as detailed above and made payable to 'Oxford University Chest', to: Oxford Magazine Subscriptions, University Offices, Wellington Square, Oxford OX1 2JD.

Deadline for subscription payments

To ensure that your subscription is active in time for you to receive all copies of the Oxford Magazine for 2016–17, we must receive your payment by Friday, 16 September.

Subscriptions run for the whole academic year (0th week in Michaelmas term to 8th week in Trinity term). If you subscribe at any point after the start of the academic year, we will send you back issues to date and your subscription will run until the end of Trinity term in the year in which you subscribe.

Subscribing to email mailing lists

We maintain mailing lists to alert subscribers to new online issues of the Gazette and Blueprint. Anyone is welcome to subscribe to these mailing lists, but please note that sections of the Gazette which relate to current students can only be viewed by current members of the University for data protection reasons.

Setting up email alerts

Frequently asked questions

What publications can I subscribe to?

  • Current and retired members of Oxford University staff can:
    • receive print copies of the Gazette, Blueprint and the Oxford Magazine to be sent to any address within the collegiate University*
    • receive email notifications of all of these publications, either instead of or as well as print copies
    • receive email alerts when new issues of Oxford Today are published (but staff who are not also alumni cannot receive a print copy of Oxford Today)
    • receive email alerts when OUP's Annual Report of the Delegates is published each July.
  • Other current members of the University of Oxford (eg students) can read all of the above publications online except the Oxford Magazine, but are not entitled to receive print copies.
  • Anyone who is not a current member of the University (eg alumni, former members of staff other than retired members, or anyone with no connection to the University of Oxford) can read Blueprint, Oxford Today and OUP's Annual Report of the Delegates online, plus most of the Gazette (certain sections are unavailable publicly for data protection reasons).

Can I read these publications online?

All of the publications are available online. The Oxford Magazine is only available to current and retired members of staff of the University of Oxford.

How can I find out when a new issue is live online?

Anyone can add themselves to our email mailing lists. Please note that the Oxford Magazine is only available online to current and retired members of University staff.

Can I receive print copies of these publications?

If you are a current or retired member of University or college staff, you can receive print copies of the Gazette, Blueprint and the Oxford Magazine delivered to any address within the collegiate University*. Retired members of Congregation can also have print copies sent to any UK postal address.

Print copies of Oxford Today are exclusively available to alumni, and so are unavailable to members of staff (unless they are also alumni; see the Alumni website to subscribe in this case), and OUP's Annual Report of the Delegates is no longer published in print.

* A few University addresses which are too far from central Oxford are unavailable for delivery.

Can I subscribe on behalf of someone else?

You need to sign into the webform at www.staffsubs.ox.ac.uk using your Oxford username (single sign-on account), so you can't access the webform on someone else's behalf.

Can I change my mind about my subscription preferences?

Yes, you can change your mind at any time and as many times as you like.

How do I fill in the webform?

The webform itself is at www.staffsubs.ox.ac.uk. If you are having any difficulty filling it in, we have provided a walkthrough to help: Subscriptions webform walkthrough (155kb)

What happens if I move to a different department/college?

If you want to change where your print publications are sent, you will need to log into the webform at www.staffsubs.ox.ac.uk and change your delivery address. We don't automatically update delivery addresses when people move, as they might have set their own preferred delivery address already and we don't want to overwrite that.

Your account might be deactivated if you move from employment at the University to employment at one of the colleges; if so, you will receive an error message when you log into the webform to change your location. In this case, please follow the onscreen instructions to email gazette@admin.ox.ac.uk, and we will reactivate your account and change your location on your behalf.

What happens if I retire?

If you retire from the University, your subscriptions will be automatically cancelled. If you wish to continue receiving publications, you will need to email gazette@admin.ox.ac.uk and ask us to reinstate your subscriptions.

If you retire from a college, we don't have access to leaver information so your subscriptions will continue until/unless you or someone else asks us to cancel them.

Do I need to cancel my subscriptions if I'm leaving the University/my college?

  • University staff: your subscriptions will be automatically cancelled from the date you leave, based on records from Personnel Services.
  • College staff: we don't have access to leaver information for colleges, so it would be helpful if you cancel your subscription when you are leaving.

Can I put my subscription on hold while I'm on sabbatical or other extended absence?

Yes, you can. Just email gazette@admin.ox.ac.uk with the subject line 'Subscription suspension' and details of when you're away and what you want to do about your publications, and we can temporarily stop your deliveries and restart them when you return.

If you just want to change to email alerts from printed copies while out of Oxford, you can set this up yourself at www.staffsubs.ox.ac.uk.

Why can't I have my publications posted to my home address/another address?

It costs too much to send publications by Royal Mail, and the University can't justify the cost. We therefore offer current staff the option of having their publications delivered to any building within the collegiate University, but not postal deliveries anywhere else. You can choose any address in the collegiate University to have your publications delivered to, so if you never go into college, for instance, you can have your publications delivered to your department instead. You can also choose different delivery addresses for each publication if you want.

You can also read all of the publications online from anywhere with internet access, although please note that some parts of the Gazette and all of the Oxford Magazine are restricted to current and retired members of University staff.

I'm new to Oxford and/or I'm not familiar with these publications; how can I find out if I want them or not?

If you're a member of staff we can send you a taster pack so you can decide what you would like to read. Just email gazette@admin.ox.ac.uk with the subject line 'Taster pack' and we will send you:

  • a sample print copy of the Gazette, Blueprint and the Oxford Magazine
  • a sample of the email notifications for the Gazette and Blueprint, including links to the online editions.

I'm a retired member of University/college staff. Are these publications available to me?

If you are a retired member of Congregation, you can receive:

  • print copies of the Gazette, Blueprint and the Oxford Magazine delivered to any address in the collegiate University* or any UK postal address
  • email notifications about new online issues of the Gazette, Blueprint, the Oxford Magazine, Oxford Today and OUP's Annual Report (please note that parts of the Gazette and all of the Oxford Magazine are restricted to those who have an Oxford username (single sign-on account)).

If you are a retired member of staff who was not a member of Congregation, you can receive:

If you have previously subscribed to any publications and have now retired from the University, your subscriptions will be automatically cancelled. If you wish to continue receiving your subscriptions after retirement, please email gazette@admin.ox.ac.uk and ask us to reinstate your subscription.

I'm an Oxford University student. Are these publications available to me?

Current University students can receive email notifications about new online issues of the Gazette, Blueprint, Oxford Today and OUP's Annual Report (please note that parts of the Gazette are restricted to those who have an Oxford username (single sign-on account)). I'm an Oxford University alumna/us. Are these publications available to me?

Alumni can receive:

  • email notifications about new online issues of the Gazette, Blueprint, Oxford Today and OUP's Annual Report (please note that parts of the Gazette are restricted to those who have an Oxford username (single sign-on account)).
  • print copies of Oxford Today sent to their home address or email subscriptions to OT Extra: visit the Alumni website for subscription information.

Why can't I have a print copy of Oxford Today?

Oxford Today is our alumni magazine, and only Oxford alumni are entitled to a free print copy as a way of helping them keep in touch with the University.

However, anyone can read the magazine online at www.oxfordtoday.ox.ac.uk and sign up for email alerts of new issues (members of staff can sign up by visiting www.staffsubs.ox.ac.uk; everyone else needs to email gazette@admin.ox.ac.uk with the subject 'Oxford Today subscription').

I'm not entitled to free print copies of publications. Can I pay for a subscription?

Yes, you can buy subscriptions to some of our publications.
